DATAMARK Releases New White Paper Offering Guidance on Large-Scale Backfile Conversion Projects

El Paso, Texas (PRWEB) September 28, 2013

DATAMARK, Inc., a leading provider of global business services, has published a new white paper aimed at helping business and government organizations manage the task of converting large numbers of paper files into digital images for use in electronic document management (EDM) systems.

“Backfile Conversion: Best Practices and Considerations for Electronic Document Management” is available for complimentary download from the Resources section of DATAMARK’s website at this link: http://www.datamark.net/resources/white-papers[1].

Although EDM systems have played a transformative role in enterprise and government for some time now, there are many organizations that have yet to shift from paper processes and take advantage of the speed, efficiency, cost savings and other benefits that digital workflows offer.

These organizations often have storage rooms or warehouses full of thousands of bankers boxes packed with documents that must be made digital and uploaded into an EDM system. These “backfiles” need to be prepped, barcoded for tracking purposes, and then run through high-speed, high-volume platform scanners. Once the documents are converted to digital images, metadata required for indexing, classification and search is captured automatically by Optical Character Recognition (OCR) software, or manually by data entry personnel.

“Although the concept is simple on the surface -- scan, capture and upload to a server -- a large-scale backfile conversion project involving thousands of file folders, or millions of pages, is a complex task that requires thorough analysis and planning,” said David Peregrino, marketing coordinator for DATAMARK. “We developed this white paper to give managers a solid overview of the planning process, as well as many practical considerations for leading a backfile project to a successful outcome.”

DATAMARK’s release of the white paper follows the company’s recent announcement of its backfile conversion survey, which is open for submissions through Oct. 10, 2013. Individuals who complete the survey will be entered into a drawing to win an iPad mini.
